SUBMISSIONS FOR ENTRY

Upon receipt of entry form and fee by the AlA Toledo Chapter, each entrant will be mailed one (1) binder for each project. The materials contained in this 8-1/2"x 11" binder will include an identification form, data sheet, 10 transparent window sleeves, and one opaque identification envelope.

Binder format is as follows:
     Sleeve 1 - Project Information sheet
     Sleeves 2-11 - entry material
     Sleeve 12 - Concealed Identification Form envelope

No deviations from the above listed format will be allowed.

Each binder submitted shall contain a minimum of ten (10) and not more than twenty (20) images of the project.

Entries shall be printed and inserted in the supplied binder. An electronic copy of the drawings and images submitted in the binder shall be provided on a CD as outlined below. No additions or exclusions of the printed submission will be allowed.

Applicant is to submit each entry in the binder(s) provided which shall include completed data sheet, drawings, photographs, electronic images, and completed identification form inserted into opaque identification envelope. Slides will not be accepted. Drawings and all materials in a submission must be contained in the supplied 8-1/2" x 11" binder.

The first sleeve in the Submissions Binder is reserved for the Project Identification Form and the last sleeve is reserved for the Concealed Identification Form sealed in the provided envelope. The remaining ten [10] sleeves may be used for project images that meet the minimum requirements as stated in the Submission Requirements. This allows up to a maximum of twenty [20] viewable sides that may be composed with as many images as the presenter wishes. Note that larger images are easier for the Jury to review in the consideration of a project for a Design Award.

Each exhibitor shall determine the composition of each sheet.

The number and size of images displayed on each sheet is left to the discretion of the submitter.

Drawings or Site Plans are to be accompanied by a graphic scale.

The CD-ROM is to include Site Plans, Floor Plans and Sections in individual JPG files as they are presented in the Submissions Binder and should also include each individual image in the order that they appear in the completed Submissions Binder.

All project submittals must include a site plan or aerial photography with floor plans and a minimum of one building section. For Renovations/Restoration, also include pre-existing conditions through plans and/or photographs. For Interior Architecture, also include a photograph of the building exterior. Include in all submissions graphic scales and north arrows to ensure a complete understanding of your project. Identify a binder entry registration number and project name on each CD to ensure the proper handling of your material.

The jury will select the image that best captures the spirit in which project was selected for an award. Award recipients will be asked to provide a high resolution digital file of the image selected by the Jury. The selected image will represent the project for publication and award plaque. PHOTOGRAPHS

Photographs may be either black and white or color.

EXTERIOR

In the case of a single building submittal, a minimum of two (2) 8" x 10" (up to 8-1/2"x 11") photographs which together show the principal exposed sides at the building are required. In the case at a group at buildings, requirements are one (1) photograph of the whole group with necessary supporting photographs showing the principal buildings in the group.

For the projects involving exterior alterations, one (1) 8" x 10" (up to 8-1/2"x 11") photograph of each altered (exposed) side with one (1) 8" x 10" (up to 8-1/2"x 11") at the same side before alteration. If "before" photographs are not available, insert a statement.

INTERIOR

Submit a minimum at one (1) 8" x 10" (up to 8-1/2"x 11") photograph for each project. For extended use projects, an additional 8" x 10" (up to 8-1/2"x 11") photograph at the pre-design condition is recommended.

ELECTRONIC IMAGES

Identify the binder entry registration number and project name on each CD to ensure the proper handling of your material.

Electronic Image Format

All electronic images or Microsoft PowerPoint files should be submitted on an IBM compatible compact disc (CD) suitable for showing with a standard, IBM compatible front-screen computer projector. Provide one CD per project.

For each project, submit a Microsoft PowerPoint file containing electronic images of the project. Each image should not exceed 1024x768 pixel resolution. The file name should be the same as the project name, (e.g. Project Name.ppt). No other Microsoft PowerPoint format will be accepted. Do not identify the architect in the file name or anywhere in Microsoft PowerPoint presentation.

While no limitations are placed on the number of electronic images used within each frame of the Microsoft PowerPoint file, each submittal should be concise and of high graphic quality utilizing a black background for uniformity. Insert binder entry registration number in lower right hand corner of each frame. Submittals may not contain sound, animations, video clips, panorama movies, moving images, hyperlinks or links to other files.

For those who do not have Microsoft PowerPoint, image files may be submitted individually and are to be named with the binder entry registration number, and lettered (A, B, C, etc.) in the sequence in which they are to be shown to the jury (e.g. 00100A.jpg , 00100B.jpg , 00100C.jpg ... etc.) These images will be inserted into a standard Microsoft PowerPoint presentation in the order identified by the entrant. Individual electronic images shall be submitted as follows:

Format: JPEG using the maximum image quality level
Image Size: 100 DPI; approximately 4"x 5"

Please identity on the backs of the 8-1/2" x 11" Site and Floor Plans, and the 8" x 10" color photograph, the entry binder registration number.

No other identifying or distinguishing marks or information, including firm names or logos, shall be visible on any of the information required for submittal. Conformance to submission requirements is determined by the AIA Toledo Design Awards Committee and all decisions are final. Non conforming material will be rejected. Questions regarding submission requirements may be directed via email to AIA Toledo Design for clarification prior to submitting entry.

AlA Toledo reserves the privilege of retaining one (1) or more of these images for display at the AlA Toledo Design Awards Presentation.

DRAWINGS

When applicable, a Site Plan at small scale with sufficient detail development to illustrate the project in its immediate environment; a Floor Plan or Plans and one (1) or more Building Sections sufficient to explain the solution, are required. Plans must be to scale, but may be shown in any medium. Scale shall be as large as practical and must be shown graphically.

Plans shall be on 8 1/2" x 10" sheets slipped into transparent window sleeves. Plans on larger sheets or folded plans are not acceptable.

DESCRIPTIVE DATA

Entrants must use the data sheet which accompanies the binder for recording descriptive data. In order to simplify the task of the Jury, this data should be stated as briefly as possible. Insert the sheet, properly filled out, in the first transparent window sleeve.

No additional items are permitted in the fist sleeve.

CONCEALED IDENTIFICATION

The following information shall be placed in an opaque, sealed envelope and inserted in the last transparent window sleeve of the supplied binder:

- Completed identification sheet.

Please tape the last sleeve shut so the envelope does not fall out.

No additional items are permitted in the last sleeve.

Note: Rights to photographs, electronic images, and plans must be cleared for publication by the entrant. Entrants are responsible for any royalties or copyright photography fees. All electronic images may become the property of AlA Toledo and will be included in the Chapter archives. Because of the historical importance of the submission material, it is critical that all information presented is accurate and complete.

The drawings, photographs, and electronic images of each winning entry will be used for unrestricted publicity; credit lines and copyright notices (if any) will be used on drawings, photographs, and electronic images published by AlA Toledo.

Award recipients (or their designees) and clients are requested to attend the AlA Toledo Design Awards Presentation.

PRESENTATION OF WINNING PROJECTS

Award-winning projects will be displayed publicly by AlA Toledo. Electronic images of award-winning entrants will become the property of AlA Toledo and may be displayed on the AIA Toledo website. The presentation binder will be returned to the winning firms after they are utilized for display purposes.

The AlA Toledo Design Awards Committee will require a 24" x  24" display board of the award-winning project. Requirements will be mailed out separately.

ADDRESS FOR COMPLETED SUBMISSION BINDERS

All completed submission binders are to be delivered to AIA Toledo by the deadline date in one of two ways:

1. Mailed to the following address in sufficient time to be received by 5:00 PM EST on Thursday, September 25, 2008 for submission of binders to:

No Submission Binder will be opened prior to receipt of final entry. Upon close of the deadline, in the presence of a majority of Design Awards Committee members:

1. All mailed or hand delivered entries are checked only for conformance with the Submission Requirements published herein. Any submission not adhering to any of the published guidelines and requirements will be DISQUALIFIED from consideration for an award by the Jury. There are no refunds for disqualified entries.

2. Entries adhering to the published guidlines and requirements are then packed in a Jury Box and sealed for delivery to the Jury.

3. The Jury Box is opened only by the Jury Chairman.

Submissions not receiving awards will be returned to the entrants by the Chapter at the earliest possible date.

Every effort will be made to protect and return the submissions in good condition, but in the event of their loss, AlA Toledo cannot be held responsible for any of the material submitted.

Decisions of the AIA Toledo Design Awards Committee are final.
